Owning a night

The primary host owns the evening. The co-host is briefed well enough to take over. This is the whole agreement between those roles and Room for More.

Before the day

One person is the primary host and at least one person is the co-host. Both confirm the date in the team portal. The co-host should know the meeting point, the shape of the evening and anything that would stop it running.

Open the event guide for the practical details. The night before, check the Room for More page and the Meetup page against what you have been telling people. If the time or meeting point disagrees, tell Martin.

What is yours

The activity, the room, the welcome and the decisions that make the evening work are yours. You can change the small things on the night without asking. The primary host makes the call and backs the co-host; the co-host takes over if the primary cannot come.

What stays with the authorized operator route

Money, refunds, contracts, bookings that bind the company, and calling off a ticketed event stay with an authorized admin or configured publisher.

Guest money never goes through your own account or Vipps. If somebody has paid and you think the night should be called off or moved, contact Martin immediately. Do not wait for a normal reply time and do not cancel independently; the authorized operator uses the panel that reaches buyers and handles refunds.

Paid and unpaid hosting

Co-hosting and ordinary free-event hosting are unpaid unless separate written terms say otherwise. A certified primary host who genuinely carries their own ticketed event can use the standard host deal. The deal, backup, payment route and event scope are agreed in writing before tickets open. Confirming this guide is not that agreement.

If you cannot make it

Take yourself off the date in the portal as soon as you know and open a cover request there. That makes the gap visible to everybody who can help. If it is the same day, call Martin as well. Leaving the role is always allowed; silence is the thing that causes a problem.

Afterwards

Use the closeout on your night in the portal: a rough turnout, one sentence on how it went, anything that went wrong or nearly did, and what should happen next. Photos only count as usable when the recognisable people in them were asked.

What confirming means

Confirming this in the portal records that you read this version for the assignment. It shows the guide was received; it is not proof of capability, a legal signature or acceptance of paid terms. If something here does not work for you, say so before the event and the assignment can be changed.
